Support Operations Manager (Paid)


Operations Manager Position Description

Position Summary

The Operations Manager oversees the administrative and operational systems that support Lighthouse Christian Athletics programs, families, coaches, and directors. This role is responsible for athlete registration management, compliance tracking, coach and director onboarding, and day-to-day support for systems, communications, and internal administration. The Operations Manager helps ensure programs run smoothly, records remain current, and families and staff receive timely assistance.

Time Commitment & Compensation

●       Time Commitment: 15 to 20 hours per week, depending on registration cycles and seasonal volume.

●       Compensation: $18.00/hr


Key Responsibilities

Registration and Athlete Administration

●       Create and manage athlete registrations in Crossbar.

●       Review new registration requests and clarify details with program directors as needed.

●       Manage updates to existing registrations.

●       Assist families and program staff with registration troubleshooting.

●       Review and approve required athlete documents in SportsEngine, including liability waivers, parent and athlete codes of conduct, registration policies, and annual requirements.

●       Review and approve player physicals.

●       Verify annual association memberships and confirm appropriate membership fee selections.

●       Communicate with families and process charges when membership fees are selected incorrectly.

Coach and Director Administration

●       Process coach registrations and onboarding requirements.

●       Manage and log completion of background checks.

●       Track Concussion Protocol Training completion.

●       Verify and log coach agreements and coach liability waivers.

●       Track CPR training records and save required documentation to the shared drive.

●       Verify completion of signed director agreements as needed.

Systems, Technology, and Administrative Support

●       Serve as administrator for the Lighthouse Christian Athletics Google Suite.

●       Serve as administrator for Charger social media accounts.

●       Create and manage staff and coach email accounts.

●       Make website content updates as requested.

●       Assist programs with Square usage and manage staff access in Square.

●       Respond to emails, including the general contact email account.

●       Support families and program staff with operational questions and issues.

●       Train program staff on systems and processes as needed.

●       Assist with updating internal documents, procedures, and manuals.

●       Issue SportsEngine refunds as needed.

Bookkeeper (Paid)


Position Summary

The Bookkeeper manages the financial processing and bookkeeping functions for Lighthouse Christian

Athletics. This role is responsible for recurring financial operations, account transfers, transaction entry and

categorization, reconciliations, bill pay, and financial reporting. The Bookkeeper supports financial

stewardship across programs by maintaining accurate records and providing timely financial information

for staff and board review.

Time Commitment

• Bookkeeper: approximately 10 to 15 hours per week, depending on monthly close activity and program

transaction volume.

Key Responsibilities

Financial Operations

• Manage RaiseRight processing monthly by running reports, calculating family balances, updating tracking

documents, applying balances in Crossbar, verifying used amounts, and making account transfers as

needed.

• Complete program-to-general-fund transfers monthly by running transaction reports through Crossbar,

calculating the general fund portion, scheduling bank transfers between accounts, and logging activity in

Google Sheets for program staff review.

Bookkeeping and Banking

• Update bank registers for all programs monthly.

• Download transactions from bank websites for each account.

• Import and organize transactions into Google Sheets.

• Enter transaction details and flag items requiring additional information.

• Communicate with program staff regarding transactions needing clarification.

• Download and categorize Square transactions for the appropriate programs.

• Integrate banking activity with Aplos.

• Categorize transactions for each bank account.

• Attach receipts to transactions.

• Reconcile all accounts.

• Prepare monthly financial reports for board and program review.

Bill Pay and Expense Management

• Pay outstanding invoices as needed.

• Manage Ramp and related expense processes.

Qualifications

Sport Director (Football)


Position Summary

The Sport Director provides operational leadership for a specific Lighthouse Christian Athletics sport, ensuring the program’s administrative, compliance, financial, and logistical functions are carried out with excellence. Working in close partnership with the Varsity Head Coach and under the oversight of the Board of Directors, this role supports strong season execution, volunteer and coach staffing, policy alignment, and a positive experience for athletes and families. Rooted in a ministry-minded approach, the Sport Director helps foster an environment that reflects Christ-centered leadership, encourages spiritual growth, and supports the discipleship of student-athletes through every aspect of the program. This role focuses on organizational effectiveness and faithful stewardship, helping build a well-run, Christ-centered program that reflects LCA’s mission, values, and commitment to safety, accountability, and continuous improvement.

Reporting and Key Working Relationships

  • Reports to:  Board of Directors
  • Primary Partner: Varsity Head Coach (alignment on season execution, communications, and operational support).
  • Key Interfaces: Sport administrators, team volunteers, coaches, parents/guardians, league officials, and the sport’s micro-community.


Sport Director is responsible for:

  • Sport operations and administration, including planning, volunteer/admin coordination, compliance support, scheduling facilitation, and policy alignment.
  • Works with Board of Directors to evaluate Varsity Head Coach performance
  • Works with Varsity Head Coach to evaluate sub-varsity Head coach performance
  • Works with Board of Directors to evaluate Varsity head coach candidates, and to select Varsity Head coach. Final decision belongs to Board of Directors.
  • Works with Varsity Head and sub-varsity head coaches to evaluate and recruit assistant coaches
  • Responsible for financial stewardship and budgeting of the program, working closely with Varsity and sub-varsity head coaches.


Varsity Head Coach is responsible for:

  • All program (all ages) coaching direction, including practice structure, player development and evaluation, game strategy/management, coach evaluations and setting coaching standards and expectations across the sport’s age levels.


Essential Duties and Responsibilities:

Program Operations, Planning, and Continuous Improvement

  • Coordinate program planning and operational readiness for the sport across the season.
  • Support ongoing evaluation and improvement initiatives that strengthen program execution and participant experience.


Volunteer Staffing and Administrative Coverage

  • Ensure, to the extent possible, that critical volunteer roles are adequately staffed to support program operations and initiatives.
  • Provide leadership and supervision to team volunteers and administrators in alignment with LCA expectations and the Varsity Head Coach’s program direction.


Coach Onboarding, Vetting, and Training Compliance Support

  • Ensure all coaches are properly vetted via initial interview and regular background check on a bi-annual basis (in coordination with applicable LCA processes).
  • Ensure a sufficient number of coaches are properly trained in CPR and Concussion Protocol, using sound discretion based on sport needs.
  • Meticulously track and enforce completion of all coach onboarding requirements.


Competition Scheduling and Governing-Body Alignment

  • Facilitate and support competition scheduling in accordance with LCA policies and MSHSAA guidelines, coordinating with the Varsity Head Coach on calendar implications and constraints.
  • Use good judgment in considering competitive opportunities that support the health and growth of the organization.


Supporting Financial Stewardship and Budgeting

  • Support the sport’s financial stewardship and budgeting processes by coordinating budget inputs, tracking sport-level administrative needs, and assisting with documentation and communications in alignment with LCA financial controls and Board expectations.


Policy Compliance and Organizational Alignment

  • Follow all provisions and guidelines included in applicable LCA policies and abide by decisions and resolutions made by the Board of Directors.
  • Uphold sport-level policy compliance and procedures established by the Board and LCA.
  • Encourage and protect multi-sport participation in accordance with the LCA Registration Policy.


Conduct, Values, and Culture Expectations

  • As a Christian non-profit organization, LCA expects Sport Directors to uphold high standards of ethics, integrity, accountability, and Christian values in program leadership and interactions.
  • Sport Directors are expected to model and promote LCA’s guiding principles, including honesty and integrity, sportsmanship and respect, discipline and diligence, respectful communication and encouragement, perseverance, service to others, and prioritizing growth in Christ.
  • Sport Directors are also expected to:
  • Demonstrate role-model behavior and servant leadership.
  • Prioritize participant safety and well-being, including appropriate precautions and adherence to protocols.
  • Support integration of Christian ministry and values into program activities as appropriate.
  • Fulfill duties with professionalism and diligence in organization, communication, and administration.

Board Member (Volunteer)


We are always seeking applications for Board Members. If you are interested, please apply and we will notify you once a position is available and we are ready to begin interviewing candidates.

Process for Board Member Selection:

  1. We will make a post and send messages through our messaging apps and email announcing that we have an open position to fill and asking for any interested party to apply. All applicants should meet the expectations listed in the posting below.
  2. After a minimum of 30 days, we will assemble the available applicants at that time and begin the interview process. Each candidate is typically interviewed by Board members as well as by executive staff (Athletic Director and Booster Club CEO).
  3. After initial interviews, the pool is narrowed and the currently active board members vote for the candidate to fill the open spot.

Board Member Position Description

Core Purpose & Role of a Board Member at Lighthouse Christian Athletics

As a board member of Lighthouse Christian Athletics, you serve as a steward, leader, and guide for the organization. Your role is not to run day-to-day operations (that’s handled by paid and volunteer staff), but to ensure that LCA stays true to its mission and flourishes sustainably — spiritually, ethically, organizationally, and financially.

Specifically, a Board Member helps:

  • Set and uphold LCA’s mission, vision, and overall values;
  • Provide oversight and governance, ensuring responsible stewardship of resources;
  • Make strategic decisions about budgets, policies, and long-term direction;
  • Ensure compliance with legal requirements, bylaws, and sound nonprofit governance principles; and
  • Serve as a public representative, ambassador, and advocate of LCA — fostering community involvement, support, and networking.


Typical Duties and Responsibilities

Board Members at LCA often participate in the following duties:

  • Attend Board meetings: Participate in regularly scheduled meetings (quarterly or more often) to discuss and vote on organizational matters.
  • Financial oversight: Review financial statements, budgets, and expenditures. Ensure funds from registration fees, sponsorships, and donations are used responsibly for the operation of our programs as well as for administration, insurance, background checks, software, etc., as LCA outlines.
  • Policy & strategic planning: Help define long-term strategic goals, policies for operations or membership, and growth plans (e.g., adding new sports, ensuring sustainability, supporting expansion).
  • Support and oversight of leadership/staff: While our staff manage daily operations, the Board provides support, advice, and oversight. For example, approving major decisions, ensuring the Athletic Director and operations staff align with LCA’s mission.
  • Fiduciary duty & ethical oversight: Protect the interests of LCA ahead of personal gain. Avoid conflicts of interest, ensure transparency, and act with integrity.
  • Advocacy, community relations, and fundraising/ support: Help promote LCA within the community. Board members may help recruit volunteers, engage families, potentially help with fundraising, and advocate for resources or partnerships.
  • Legal and compliance oversight: Make sure LCA abides by applicable laws, regulations, and internal bylaws; ensures organizational accountability and transparency.


Depending on the board’s internal structure, some board members may also have specific officer roles (e.g., Treasurer, Secretary, Member-at-Large) with tailored responsibilities — such as financial reporting, record-keeping, or oversight of certain committees.

What LCA Looks For in a Board Member

Ideal board members will:

  • Have a strong commitment to Christian values and support LCA’s mission.
  • Possess leadership, organizational, and communication skills.
  • Bring relevant experience — e.g., in sports program management, athletic administration, finance/accounting (especially for roles like Treasurer), or volunteer coordination.
  • Are willing to work collaboratively with staff, volunteers, coaches, and community partners.
  • Are prepared to dedicate a modest but consistent time commitment (e.g., reviewing financials, attending meetings, serving on committees, possibly contributing leadership or oversight 8–10 hours/month or more depending on role).
  • Are committed to transparency, accountability, and the long-term success and integrity of LCA.
  • Must believe in the organizational mission and vision, and agree to the statement of faith and Board Member agreement (can be provided upon request).

Serving on LCA’s Board is a meaningful way to contribute to the Christian and athletic development of student-athletes and their families. As a Board Member, you are a steward of trust — helping ensure that funds (like association memberships) are used wisely to support not just sports, but the organization’s overall infrastructure (website, insurance, background checks, etc.)

You’ll also help shape the long-term direction and growth of LCA: which sports are offered, how programs are supported, how the organization stays financially sustainable while remaining accessible. Your decisions and guidance will affect coaches, volunteers, athletes, and their families.

The role requires commitment, integrity, and collaboration — but it offers opportunity to serve, influence positive outcomes, and help build a thriving Christ-centered athletic community.
